🚀 Collaborator’s Guide to Joining a Layer Project
Welcome to Layer! As a Collaborator, you’ve been invited to contribute to a project workspace. Follow these steps to get set up and start collaborating.
1. Accepting Your Invitation
When a Project Owner invites you, you will receive an automated email from Layer.
Step 1: Open the invitation email and click the "Join the Project" button.
Step 2:
Step 3: Once logged in, go to the "Invites" tab on your Project Dashboard.
Step 4: Click "Accept Invite" on the specific project. The project will now move to your "Projects" tab for permanent access.
2. Understanding Your Role
Collaborators typically fall into two categories based on the permissions set by the Project Owner:
Contributor: You can view project content, add new data, and edit/delete the data you created. You generally cannot delete data created by others.
Viewer: You have read-only access. You can see all elements, files, and notes but cannot make changes.
Note: Collaborators are "free" seats for the host company. If you need "Editor" permissions (the ability to manage project structure or delete others' data), you must have a paid license within your own company's Layer account.
Editor: (paid seats only) If assigned an Editor role but do not have a paid license, your permissions will be capped at the Contributor level.

3. Navigating the Project
Once you open a project, you will see the following building blocks:
Categories: Located in the left sidebar (e.g., "Rooms," "Equipment," "Punch List"). These organize your data.
Elements: Individual items within a category (e.g., "Room 101"). Click an element to see its details.
Fields: The specific data points within an element (e.g., photos, text descriptions, status dropdowns).
Views: Different ways to see data (Table view, Gallery view, or Document view). Use these to filter for the specific tasks you need to complete.
4. Key Actions for Collaborators
Adding Data: Click the item to open up the detail pane on the right to enter field data. To create new Elements, click the "+" button in the table view.
Uploading Photos/Files: Within an element, look for a "File" or "Image" field. You can often upload directly from your phone if using the Layer app in the field.
Syncing: If you are using the mobile app in an area with poor service, Layer will save your changes locally and sync them once you are back on Wi-Fi/LTE.
5. Mobile & Field Use
Layer is designed for the field. We recommend downloading the Layer App (iOS/Android) to:
Capture photos directly into project elements.
Annotate drawings or maps on-site.
Access project data offline.
Troubleshooting Tips
Project not showing up? Check the "Invites" tab on your dashboard; you must manually click "Accept" before it appears in your main Project list.
Can't edit a field? Your role may be set to "Viewer," or the Project Owner may have restricted that specific View. Contact the Project Owner to request "Contributor" access.
Account Issues? Ensure you are logged in with the exact email address the invitation was sent to.
